FAQ: Venue operations

This document summarizes our venue’s communication with the general public regarding post-COVID operations.  

We expect to update this material continuously and frequently as events unfold.

We have shared this reopen plan with our medical partner, RWJBarnabas Health, to ensure a mindful return to operations plan that adheres to safety and recommendation guidelines. RWJ first-aid and medical advice will be available for select large events and activities, and this year’s Summer Camp Series is proudly sponsored by Robert Wood Johnson University Hospital Somerset, an RWJBarnabas Health facility.

    • We are committed to providing a safe, clean, positive environment to help you and your family come and enjoy the activities you love the most.
    • As part of the partnership with our community, we want to thank those who have tirelessly given of themselves to keep the rest of us safe, healthy, and cared for.   
    • To recognize these community leaders and heroes, our venue is providing select Summer programming at a 15% discount to all RWJ employees and their children.

What space restrictions will be in place?

    • Outdoor playing fields and surfaces will be open for limited use and capacity, and operated within distancing and sanitation requirements that include:
      • Capacity reductions will change as government guidance is updated.
      • Guests are encouraged to bring in their own chairs.
      • Social distancing of spectators, and team sidelines, is encouraged as 6 feet apart – cones or other markers are being used to help communicate spacing.
      • Congregating areas, such as bathroom and food & beverage lines, outline 6 feet distancing parameters via cones/markers.
      • We encourage and are reminding guests to practice distancing.
      • All guests are reminded to be respectful of others and that harassing, threatening or intimidating behavior will not tolerated.
      • Vendors offering services are required to follow distance parameters and demonstrate cleaning and disinfection practices.
    • Indoor spaces (Opening September 2020) will reduce capacity to allow guests to adhere to recommended social distancing guidelines:
      • We are instituting necessary precautions to encourage proper distancing (similar to the outdoor portion of our venue).
      • Capacity reductions will change as government guidance is updated.
      • Specific guidelines regarding Family Entertainment Center amenities (Arcade, Climbing Walls, Fitness Areas, Party/Corporate Rooms, etc.,) to be outlined as we draw nearer to our indoor open date and the situation evolves.

What is happening to enhance the safety and cleanliness of the venue?

    • Team Members
      • Our team members are temperature tested before starting work each shift.
      • Team members are screened prior to each shift to ensure they do not currently have virus symptoms and have not been exposed to anyone who has tested positive for COVID-19.
      • We require all employees to report any illness to a supervisor.
      • We require notification of any COVID-19 positive cases in a team member’s household.
      • We will provide Personal Protective Equipment (PPE), including masks and gloves, to all team members.  All team members will be trained on proper use of PPE based on CDC guidelines.
      • Our team members are provided sanitizing stations, such as a wash basin with soap and/or bottle of hand sanitizer.
      • We prohibit congregating of 10 or more team members in break rooms or common areas and limit capacity of such areas to allow for safe social distancing.
      • Team members adhere to a more frequent cycle of side-work cleaning: involving wiping down equipment, benches, bleachers, and commonly-touched surfaces like bathroom handles, bathroom stalls, public garbage cans, tables/chairs, etc
    •  Food Service Areas  (Outdoor concessions only: coming soon; kitchen opens September 2020)
      • We have incorporated CDC recommendations, OSHA and local Health Department standards, and industry best practices into operating guidelines for our staff to follow.
      • We have extensive cleaning and handling standards in place for our food preparation and public seating areas.
      • Our team members are continuously sanitizing chairs and tables, especially where contact occurs.
      • Kitchen areas (opening September 2020) will be thoroughly cleaned with sanitizing solutions multiple times daily – before, between, and at the close of shifts.
      • When preparing food (starting September 2020), team members are required to wash their hands more frequently, not less than once every 30 minutes.
      • Team members are changing food and beverage gloves frequently, not less than once every 30 minutes.
      • We are following government guidelines for food area social distancing and seating capacity.
    • Additional Cleaning/Safety Standards
      • Outdoor Restrooms are cleaned by team members with sanitizing solutions several times a day. We have also increased the frequency of commercial cleaning of our outdoor restrooms by our vendor. Indoor restrooms will be accessible with a reduced capacity (Sept. 2020).
      • We have placed signage and wayfinding throughout the venue encouraging distancing, hand washing, and other safe practices.
      • We are continuously monitoring and improving our operations for the safety of our participants, spectators, and team members.
      • We are committed to communicating with coaches, event owners, participants, vendors, and other visitors regarding our guidelines, and requesting everyone work together to keep us all safer.
      • We are providing hand sanitizer in high traffic areas.

What process can Participants, Spectators, and other Guests to the venue expect for entry?

    • All guests must read and sign our facility waiver  prior to arrival (parents sign for children). This is available on the front page of the Apex website and within every online registration process.
    • Coaches may enter the facility up to 30 minutes prior to their designated time.  All athletes and spectators may not arrive more than 15 minutes prior to their designated time.
    • Spectators and coaches are required to wear their own protective masks if they are unable to maintain a distance of 6 feet (covering mouth and nose) until further notice. Protective gloves are also encouraged.
    • During events, spectators who wish to watch from the sideline will be temperature checked prior to entering the field area.
    • Participants are encouraged to wear their own protective masks (covering mouth and nose) while not engaged in athletic activities until further notice. Protective gloves are also encouraged.
    • All athletes must be screened for COVID-19 symptoms prior to participation in athletic events at Apex:
      • Team practice rentals: All coaches will be required to submit a health plan to Apex, which will include screening procedures.  Coaches must be able to certify that no athletes are experiencing COVID-19 symptoms.
      • Events/Tournaments:  All event operators will need to submit a health plan to Apex prior to the event.  Each operator must be able to certify that no athletes are experiencing COVID-19 symptoms.
      • Apex programs/leagues/camps:  All athletes will be screened prior to entering the facility.  This will include a temperature check which will be performed prior to entering the field of play (5-10 second non-contact procedure).
    • Our venue has a reduced capacity for occupancy, to allow for appropriate social distancing; in some cases, advance reservations will be required to avoid turning guests away upon entrance. Please visit our website or call the venue for updates and space availability.
    • During practices, we request that only coaches and athletes be on the turf fields. Parents/guardians in attendance are required to stay in their cars or in the parking lot for the duration of the practice.   The only exception will be the parents of athletes participating in Apex programming.
    • We encourage distancing protocols for coaches and participants on the sidelines, and promote small-group/contactless coaching within training sessions. We cannot mandate players/side and competition protocols, but field capacity will be limited based on local regulations and medical guidelines.
    • Signage is posted at the entrance asking/informing guests the following:
      • Have you had exposure to COVID-19 in the past 14 days?
      • Have you experienced:
        • Cough or shortness of breath?
        • Fever?
        • Loss of taste or smell?
    • You are at an increased risk for COVID-19 complications if you are:
      • 65 years or older, have underlying lung/asthma conditions, have heart complications, suffer from diabetes, liver disease, severe obesity, or are otherwise immune compromised.
    • We reserve the right to institute further COVID-19 screening as may be recommended by local, state and national authorities.
    • Guests who have had symptoms or exposure are not permitted in the venue.
    • Guests are invited to use hand sanitizer stations upon entry and exit of the venue. Sanitizing stations will be provided near main entrances and throughout the venue.

What’s the Apex plan if someone attending has tested positive for COVID-19?

    • We are communicating to event owners, partner organizations, renters, and those who register online, that anyone who has tested positive with COVID-19 is not permitted to enter the venue until they have been released by their doctor and diagnosed as “recovered.”
    • Anyone who is presenting symptoms of illness, or answers screening questions upon entry in a way that gives us concern, will not be admitted to the venue, as a way of protecting every other guest at the venue, and preventing exposures and spread.
